Privacy policy

This policy explains how Palladian Publications Ltd handles personal data across its magazine websites: what we collect, why, who processes it and how long we keep it.

The short version: we collect what running a publishing business needs, Stripe holds your card details rather than us, and marketing is optional with an exit in every email.

Who we are

Palladian Publications Ltd is a UK publisher and the data controller for this website and its member accounts. This policy covers what personal data we collect across our magazine websites, what we do with it, and the rights you have over it. It forms part of our terms and conditions.

What we collect

Account and subscription details: your name, email address, and for subscriptions your job title, company, country and, for print delivery, your postal address. Payments are processed by Stripe, so we never see or store card numbers; on our side we keep your invoice history and a Stripe customer reference.

Forms and downloads: when you send an enquiry, request a media pack, download a white paper or register for a webinar, we store what you enter on the form. Form submissions are logged with an IP address to help us prevent abuse.

Usage data: like most websites, our servers log technical details of requests, such as IP address, browser type, the pages visited and when, for security and diagnostics. An anonymous guestId cookie supports features like downloads when you are not signed in, and, only if you accept cookies, Google Analytics gives us anonymised statistics about what gets read. The cookies section of our terms and conditions lists every cookie in detail.

How we use your data

To run the service: delivering magazines and site access, processing payments and invoices, sending sign-in codes and service emails such as order confirmations, providing customer support, and detecting and fixing technical issues.

To communicate: if you have opted in to marketing, we send emails such as new-content round-ups or subscription offers about our own goods, services and events. Every marketing email links to your email preferences, and you can opt out there, from your account page, or by contacting us. Service emails, such as sign-in codes and payment receipts, are sent regardless because the service does not work without them.

To improve the sites: aggregate, anonymised analytics tell us which coverage matters to readers. We do not sell your personal data.

Sponsored events, white papers and webinars

Some events, conferences, webinars and white papers are sponsored by, or run in association with, advertisers or other commercial partners. Where a sponsor or partner requires your details, the registration or download form will make this clear and ask you to accept the relevant terms before continuing.

Where you agree, the details you provide on the form may be shared with the named sponsor or partner, who may contact you about related products and services. We will only share your details where this is made clear at the point of registration or download.

Who processes your data

We use a small set of established providers to run the sites, and each processes personal data only to do its job for us: Stripe for payments, Mailchimp Transactional for sending our emails, Google for analytics and advert delivery (both consent-gated), Amazon Web Services for hosting and file storage, and LinkedIn if you choose to sign in with your LinkedIn account.

Some of these providers process data outside the UK, mainly in the United States. Those transfers rely on recognised safeguards such as the UK extension to the EU-US Data Privacy Framework or standard contractual clauses, and data you give us is processed in the United Kingdom.

When the law requires disclosure

We may disclose personal data where the law requires it or in response to valid requests by public authorities, such as a court or government agency. We may also disclose it in the good-faith belief that doing so is necessary to comply with a legal obligation, protect our rights or property, prevent or investigate possible wrongdoing connected with the service, protect the safety of users or the public, or protect against legal liability.

How long we keep it

Account data is kept while your account is active. Invoices and billing records are kept for as long as UK accounting law requires. Form submissions and leads are kept while they are relevant to the enquiry or campaign they belong to. Server logs are kept for a shorter period unless needed for security. When data is no longer needed for the purpose it was collected, legal obligations, resolving disputes or enforcing our agreements, it is deleted.

Security of your data

How we protect data, from Stripe-handled payments to passwordless sign-in and encrypted connections, is described in the security section of our terms and conditions. Be aware that no method of transmission over the internet or of electronic storage is 100% secure; we use appropriate technical measures but cannot guarantee absolute security.

Children's privacy

Our sites are trade publications aimed at industry professionals and do not address anyone under 13. We do not knowingly collect personal data from children. If you are a parent or guardian and believe a child has given us personal data, contact us and we will delete it.

Your rights and choices

Under UK GDPR you can ask us for a copy of your personal data, ask us to correct or delete it, restrict or object to how we use it, or ask for it in a portable, commonly used electronic format. Where possible, you can update your details directly in your account settings; for anything else, contact us through the contact page and we will respond within the statutory timescale. We may ask you to verify your identity before acting on a request.

Tracking on our sites is controlled by the cookie consent banner rather than browser "Do Not Track" signals, which we do not respond to. Your consent choice can be changed at any time, as described in the cookies section of our terms.

If you are unhappy with how we have handled your data, you can complain to the Information Commissioner's Office (ico.org.uk), though we would appreciate the chance to sort it out first.

Links to other sites

Our articles link to sites we do not operate. If you follow a third-party link, that site's own privacy policy applies; we have no control over and no responsibility for its content or practices. Review the privacy policy of every site you visit.

Changes to this policy

When our services or the law change, we update this page, and for significant changes we will give notice on the site or by email before they take effect. The current version is always the one published here.
